Position Description

Support the administrative needs of the National Military Family Association and specific requirements of the Development & Membership, Youth Initiatives, and Volunteer Services department of the National Military Family Association. Position is for 30 hours per week.

Responsibilities

As assigned by the Administration/Human Resources Director:

Assist with the daily operational responsibilities of the Association and as back-up for the Receptionist/Administrative Assistant:

  • Serve as primary back-up person for answering and directing calls
  • Open daily mail and distribute accordingly (Back-up)
  • Prepare bank deposits for monies received (Back-up)
  • Ensure office equipment is functional, including copier, fax machine, etc. (Back-up)

Provide administrative support to the Youth Initiative, Development/Membership, and Volunteer Services Departments:

  • Coordinate shipping and mailings (UPS, FedEx, and USPS)
  • Prepare check requests and organize staff travel receipts and documentation for Directors’ credit card statements
  • Provide logistical support for meetings, to include making conference room and conference call reservations, making copies, sending meeting reminders
  • Answer routine Operation Purple® program and Association membership questions
  • Prepare Membership Transaction Forms and assist with inputting new and renewal information for members and donors into Association’s database
  • Process Volunteer applications
  • Maintain Volunteer Services Department’s database, files, rosters, and distribution lists
  • Record and process monthly Volunteer hours and reports

Other duties as assigned by the Administration/Human Resources Director

Qualifications

  • High school Diploma
  • Professional appearance and manner
  • Excellent administrative, planning, and organizational skills
  • Well-developed interpersonal and communication skills
  • Attention to detail
  • Working knowledge of mail processes, such as postage machine, Federal Express and UPS
  • At least three years of relevant administrative experience
  • Knowledge and experience in non-profit operations a plus
  • Knowledge of the families of the uniformed services preferred
